Overview

As Olive Bank Community Club we understand the value of your customer data and will strive never to betray your confidence and trust in us. We’ll never share your information with third parties (unless we are ever required to by law) and promise to take the necessary steps to keep your data secure and safe. 

We only collect basic personal data for the purpose of you being a member of our club or booking any of our facilities.  We’ll always ask your consent to process your personal data or will make it clear that we’re doing so under our contract with you as a club member. If you enquire or make a booking to use our facilities we will process your data under legitimate interests. We are not able to hire out any of our facilities without knowing an individual's name and contact details.

OurSite is owned and operated by Olive Bank Community Club. We operate on a not for profit basis and are a registered Community Amateur Sports Club (CASC) Reg. No. 05778.

Our website places Cookies on your computer or hand-held device to help deliver a high quality and user-friendly website experience.  These Cookies ‘remember’ when your computer or device accesses our websites and are essential for its effective operation.  These Cookies only collect information about your browsing and we do not use them to collect or record personal data such as your name, address or other contact details.

  • The right to object to ususing your personal data for a particular purpose or purposes.

  • The right to data portability. This means that, if you have provided personal data to usand that data is processed using automated means, you can ask usfor a copy of that personal data to re-use with another service. Wedo not process your personal data in this way.

4. The data we collect

Depending upon your use of OurSite, wemay collect some or all of the following personal data:-

  • Name;

  • Address;

  • Email address;

  • Telephone number;

  • Membership payments;

  • Club section

5. How We Use your Personal Data

Under the GDPR, wemust always have a lawful basis for using personal data. This may be because the data is necessary for our performance of a contract with you, because you have consented to our use of your personal data or because we have a legitimate interest to do so. Your personal data will be used for  the following purposes:

  • Providing and managing your Membership;

  • Providing and managing your booking of any of our facilities as a member.

  • Providing and managing your booking of any of our facilities as a non-member.

  • Communicating with you. This may include responding to emails or calls from you.

  • Supplying you with information by email and post that you have opted-in to receive. You are of course able to unsubscribe from this at any time by informing Mr Arthur Merill, Club Secretary in writing at info@olivebankcommunityclub.com

6. How we keep your personal data secure

The security of your personal data is essential to us, and to protect your data, we take a number of important measures, including the following:

  • Ensuring any software including antivirus software is kept up to date.

  • All personal data files are password protected.

  • Any hard copy documents containing personal data are kept securely in a safe.

 

7. How long we retain your personal data for

Wewill not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. 

  • As a member if you choose to leave, your personal data will be kept for 2 years in case you may wish to rejoin during this period. At the end of the 2 years it is deleted off our system and any paper records are shredded.

  • If you are a non-member who books any of our facilities we will hold your data for 2 years. At the end of this time your personal data will be deleted off our system and any paper records shredded.

We will only store or transfer your personal data in the UK. This means that it will be fully protected under the GDPR.

 

8. Changes to this Privacy policy

We keep our privacy notice under regular review and will update it as required, for example because of a change of law. This privacy policy was last updated on 16thMay 2018.
